What hardware does Paperless-ngx need?
For 1,000-2,000 documents on Hetzner CCX13 (€4.85, 8GB RAM): comfortable. For 5,000+ documents or many concurrent users: step up to CCX23 or run on a mini-PC with 16GB RAM. OCR is CPU-bound, not RAM-bound, but indexing benefits from RAM headroom.
How does Paperless-ngx compare to Notion or Google Drive?
Different tools. Notion / Drive are good for collaborative editing of new documents. Paperless-ngx is for ingesting, OCRing, and searching documents you receive (receipts, invoices, contracts). They complement each other.
Can I export everything if I want to migrate?
Yes. Paperless-ngx exports each document as the original file plus a JSON metadata file. Migration to another tool is a “fold the metadata back into filenames or tags” exercise. Not trivial but achievable.
What about handwritten notes?
Paperless OCR is approximate for handwriting. For handwritten notes, we use Goodnotes or OneNote and only ingest the typed final versions into Paperless.
